King’s School Holiday Clubs (including King’s St Alban’s and King’s Hawford)
1. General Information
These Terms & Conditions apply to the King’s School Holiday Clubs, including King’s St Alban’s and King’s Hawford, (referred to as “the Club”), which caters to children aged 4-13. By enrolling your child in the Club, you agree to the following terms and conditions.
2. Enrolment and Payment
- Enrolment: Enrolment in the Club must be completed through our official registration webpage. All required information must be provided accurately.
- Payment: Payment for the Club’s services must be made in full prior to the start date. We accept payments via credit card, debit card, or child-care vouchers.
- Childcare Vouchers: If you have chosen to pay using childcare vouchers, please ensure that the payment is fully processed before the start date of the Holiday Club. If payment has not been received via childcare vouchers by the commencement of the Holiday Club, we reserve the right to charge the credit or debit card provided at the time of booking for the full amount due.
- Insufficient numbers: If insufficient numbers are booked onto either of the Holiday Clubs held at King’s Hawford or King’s St Alban’s, we reserve the right to combine the two clubs and operate from a single site. Families will be notified in advance should this change be necessary, and all efforts will be made to minimise disruption.
- Cancellation Policy: Cancellations made more than 14 days before the start date will receive a full refund. Cancellations made less than 14 days before the start date will not be refunded.
3. Health and Safety
- Medical Information: Parents/guardians must provide accurate medical information for their child, including any allergies or medical conditions.
- STRICTLY NO NUTS, including nutella and hummus, to be brought to the Club.
- Illness: Children who are unwell should not attend the Club. If a child becomes ill during the day, parents/guardians will be notified to collect their child immediately.
- Safety Measures: The Club follows strict safety protocols. All staff are trained in first aid and emergency procedures.
4. Behaviour and Discipline
- At Holiday Club we believe that children will flourish best in an atmosphere of mutual respect and encouragement, where everyone knows what is expected of them. We concentrate on encouraging good behaviour and ensuring that children enjoy their time here. Staff treat children with respect, promoting an atmosphere of trust; should that positive atmosphere be compromised by disruptive or inappropriate behaviour our staff will explain to the child(ren) involved why such behaviour is unacceptable. If the problem cannot be resolved, staff may have no choice but to exclude the child(ren) from Holiday Club.
5. Special Educational Needs
We require parents/guardians of children with Special Educational Needs or disabilities or allergies (suspected and diagnosed) to discuss their child’s needs with the Foundation before they submit any booking request so that we can assess whether we can make adequate provision for them.
Parents/guardians should provide full details of all relevant information at the point of booking, including any reports (including any educational psychologist reports, medical reports or other relevant expert third party reports), materials or information about their child’s needs, and this may include any final or draft EHC Plans. In the case of a child who has an EHC Plan in place, parents/guardians should provide this report to the Head of the School to which the parents/guardians are considering making a booking for discussion prior to a booking being made.
This is so that the Foundation can assess their child’s needs and consult with parents/guardians about the adjustments which can reasonably be made and so that the Foundation can ensure, for example, that their child will be able to access the provision offered and that we are able to ensure their health and safety, and the health and safety of others.
6. Activities and Excursions
- Activities: The Club offers a range of activities designed to be both fun and educational. Participation in all activities is encouraged but not mandatory.
- Excursions: Some activities may involve off-site excursions – parents/guardians will be notified in advance.
- Films may be played on occasion in day care. These may be PG or U rated.
7. Liability and Insurance
- Liability: The Club will take great care to ensure the safety of children at all times, we cannot accept liability for personal injury or loss of property that may occur. Parents should make their own arrangements for personal injury insurance if they wish to do so. All children attending The King’s School Worcester (including King’s St Alban’s and King’s Hawford) are covered, if subscribed, by the general personal accident insurance scheme.
8. Late Pick Up Charge
- All children must be collected at the correct time for the end of their Club (5.30pm for King’s Hawford and 6pm for King’s St Alban’s). Please note, our day-care team work very hard to ensure that your child has a fantastic time, and we reserve the right to charge an additional fee of £20 per 15 minutes for late pick up.
9. Privacy and Data Protection
- Data Collection: The Club collects and processes personal data in accordance with applicable data protection laws. Information provided during enrolment will be used solely for administrative purposes.
- Privacy Policy: Our full privacy policy is available on our website. Parents/guardians are encouraged to review it to understand how their data is handled.
10. Amendments to Terms & Conditions
- The Club reserves the right to amend these Terms & Conditions at any time. Parents/guardians will be notified of any changes in advance.
